Let’s take a break from workspace design & talk a little bit on Fengshui, where most business owners care a lot. The office is where we generate wealth. Therefore, the Fengshui layout will directly affect the fortunes of the company and its employees. Before you engage any interior designers, be sure that you find a trustworthy Fengshui master to plan your auspicious layout.

1 – The spaciousness of the office entrance often shows if the company would prosper. If there are too many large objects piling up the doorway, it will be hard to walk through. Over time, this creates discomfort and may even affect the work ambience. And of course, too much clutter spoils the aesthetics and obstructs the vision. One should ensure it is clear & bright where it welcomes the Qi “气” or what westerners known as “flow” to surround the work environment, which deem auspicious & harmony for businesses.

2 – The office decoration should not appear too luxurious. Generally milky white and ivory are the go-to colours for office interior. The orientation of the workstation should base on the individual's auspicious position, primarily following the highest leader of the organization. 3 – Desk facing & location. We should arrange the desk facing according to our BaZi “八字“ , for example if ones auspicious facing is west, her table should be located east while sit facing the west.

4 – The office room size should be in adequate size. If the area is too big, it appears empty and does not gather Qi. On the other hand, if the space is too small, it may be inconvenient to move around, and inhibits business development.  If the desk leans against the window, it will disrupt the flow of chi, affecting the employer’s thought process, decision making, revenue etc.

5 – The height of the window is critical in the office room’s Fengshui layout. If the back window of the office room is small and high with two meters above the ground, the office and wealth corner will become dim. This is because such structure resembles cells, which also have high windows.

6 – In office Fengshui, it is best to keep the layout simple and not decorate the space with artificial flowers, trees and rockery as they lack vitality, affecting the flourishes on the business. Generally, the reception area is on the right side of the entrance. Based on human habits and Fengshui culture, the left side of the door is the wealth corner. We can decorate this area with large-leaved plants or Fengshui ornaments. The wealth corner should not be turned into a room. Instead, we can set up a display area to highlight the corporate culture and products. Be mindful that it should not take over the wealth corner. By displaying these items on the wall, it leaves an impression on visitors about the product, corporate culture and business philosophy. Which brings better business opportunities.

Merck, a world leading biopharma company with 350years of history, is truly a global company. Around 57,000 employees work In a mission to make a positive difference to millions of people’s lives every day by creating more joyful and sustainable ways to live. As the millenials are joining the work force, Merck decided to renew their workspace with new agile working environment while maintaining corporate identity. Maximising the usage of different functional spaces, including phone booths for private discussion & adding writable walls for quick notes during meetings. 

There comes a time when every company must face the inevitable dilemma what to do after pandemic, what will be the best practise to safe guard employees health and at the same time maintain productivity. Too much uncertainty in the macro environment causing that businesses take trumbling steps when making decision, and understanding the importance on helping entreprenurs to clear their path, I have summarized 8 changes that soon becoming a reality in very near future. 

Resizing of office space

First and foremost, with the current pandemic, many businesses has no choice but to opt for reducing their office size in order to keep the operation cost low & remain afloat under this unpredictable future. We will gradually elaborate on what could be the new norm in the following.

Reception area

One of the most important area of any businesses branding & image will never be the same again. Restricted numbers of people will be serve at a time, with 1m distancing while queuing up, meaning either a larger reception area or well optimized space will soon be seen. Along with requirement on new equipment to monitor visitor’s temperature, contactless registration, remote gate opening & automated sanitizing. Parcel receiving will soon have designated area together with contactless signed off to avoid unnecessary physical contact.

Safe Zones

Prevention is always better than cure, offices or building may soon have dedicated space for suspected disease carrier. Management could consider double up the usage of available sleeping pods, call booths as isolation area before medical personnel’s arrival to send the employees for better treatment.

Say goodbye to open plan

We foresee social distancing becomes a necessity for a longer-term future, would there be a need for higher dividing panels, wider settings between tables or enclosed individual working spaces? For companies with existing setup, there will be more portable dividers available shortly anywhere to add-on to the tables.

Smaller meeting room

Once office has gone through resizing practise, meeting rooms will also become smaller being part of practise of social distancing. Under the guideline from Malaysia government in early May, no meeting with more than 10 people will be allowed, and spacing between each participants shall minimum 3.5ft/1m apart.

Virtual space

Since the pandemic breakout, most of the country’s government has instructed movement restriction order for a minimum of 30 days, work has no choice but to be digitalize as much as possible. Management has to shift tasks monitoring, collaboration & meeting online. Work will never be seen the same again even after lifting of MRO.

Pantry space

To exercise social distancing, the pantry in workspace may no longer be as open as it is in future. A higher standard of hygiene practice will be in place, where employees may have to be disinfect before entering. Follow with 1.8m/6ft spacing between each other when gathering, maybe dividers will be added for further prevention of disease outbreak in pantry.

Optimized work from home setups,

1st quarter of 2020 has ended, and covid-19 has since then changed our lives. We have started to used to work from home, and business scene is making a big shift to digitalization. What our clients are thinking next is how to get their workspace prepare when the pandemic abates.

At the end of the day, employees still prefer to work in well-designed environment. After we have done our research, study & considering advice from World Health Organization (WHO) & ergonomic studies, it is still too early for us to evaluate the new habits and skills that we are developing while working together from home. However, it’s not too soon to plan how we can return thousands of people to their workplace as soon as the MRO end.

Here’s some action that businesses can take immediately after MRO.

1. Stay away

The 6ft/1.8m distance rule advised by WHO should apply in physical working environment except if employees are wearing face masks or up until COVID-19 vaccine is available and the virus will cause no harm to employees anymore. During the interval, companies should clear away extra chairs in conference rooms with more than 10 seats. Space them out from collaboration area by applying 6ft rules for their safety. Apart from that, encourage people to collaborative virtually whenever possible

2. Reduce workstations density

It can be quite a task where the workspace is tight, for example open space like canteen layouts. In circumstances where work desks separating is under 6 feet, do think about making a buffer by using every alternate tables available. This could be done by allowing some employees to work from home or shifting them to other location for short-term. Do consider adding on divider for sit/stand desks that attached to the computer screen and move along together with it. The best scenario is not to have them facing each other, and preferably prevent individuals standing within 6 ft diameter from another who’s seated.

3. Reconsider unassigned sitting.

After coming back to the workspace, consider delegating what were once in the past common work areas to people for an entire day or a week, and afterward ensure they are sanitized before the next person uses the space.

4. Restrict sharing equipment

To prevent disease from spreading, it’s best to provide technology and accessories (such as a mouse, keyboard, or headset) to everyone. There devices are touched throughout the day and are best not shared without cleaning between works.

5. Strengthen cleaning procedures

Our staffs rely on a secure and hygienic workplace. Not only for workstation, but also other places like meeting rooms, collaborative space, pantry, reception area and other common areas should carry out strong cleaning protocols with professional at routine basis all through the day.
